They spend their time putting out fires and living in reaction mode. They are playing defense rather than offence. When you map out your day in advance you can prioritize your income producing activities first, and then deal with issues after they are done.
Break Times
Contrary to what many people think, shorter, more regular breaks are often better than one long break. This is because longer breaks can take you out of ‘work mode’, whereas shorter, regular breaks can give you a much needed breather while helping to keep your focus up. All breaks should be taken away from the desk, too – many organizations are even implementing nap pods.
Automation for your business

As your business grows, so can the daily tasks you need to complete on an ongoing basis. As entrepreneurs sometimes it can be a struggle to hand over the reins on a project to someone else.
Unfortunately if you want to continue to grow, this may become a necessity at some point. Thankfully outsourcing doesn’t have to be a nightmare with the right strategies in place.
Some tips to keep in mind is that you want to be familiar with the task before you start outsourcing. You don’t need to be an expert, but you should know quality work when you see it. A common mistake people make is outsourcing a task they don’t know and end up hiring the wrong people to do it.

Meetings
Meetings tend to be huge time sucks, and numerous employees spend hours and hours each month on pointless meetings. Some even spending up to 31 hours in meetings!
That’s a huge number that could be greatly reduced by using effective collaboration software instead, where employees can work remotely and communicate with one another effectively so everything gets done and that there are no crossed wires.
You may not be able to eliminate all meetings, though. Skype can be great for a quick meeting that people can’t attend physically for whatever reason, but standing meetings can also be effective for those who can attend. Standing gives things a sense of urgency, and people tend to pay more attention.
